Wix Events: one total ticket limit, and a waitlist
By Caner Kaya, Kayabyte
Wix Events limits tickets per ticket type, not per event, and its built-in waitlist only works for RSVP events. If you sell several ticket types for one room, the free fix is often a single ticket type with several price options. If you need different ticket types or a waitlist for a paid event, you need an app.
The classic case: a hall that holds 120 people, with “Ticket” and “Ticket + drink”. You can’t set 60 of each, because you don’t know the split, and you can’t set 120 of each, because you might sell 240.
What Wix Events can limit today
Ticket limits live on each ticket type. Wix explains this in Creating tickets for your event:
- In your site’s dashboard, go to Events and open the event.
- Go to the Tickets and Seating tab and open a ticket type.
- Under Ticket quantity, choose Limited number of tickets available and enter the number.
There’s also a limit per order for the whole event: on the event’s Settings tab, click Edit next to Ticket settings and set Ticket limit per order. The maximum is 50.
What’s missing is a total for the whole event. Wix says so in a feature request: “You cannot set a general ticket limit of how many tickets you can sell per event.” It’s still collecting votes.
Free fix 1: one ticket type with price options
If your ticket types differ only in price (adult, child, student, member), make one ticket type and give it several prices:
- Open the ticket type on the Tickets and Seating tab.
- For the pricing method choose Price options and click + Add Price Option for each price.
- Set Ticket quantity to your room size.
Wix’s help article doesn’t say in so many words that the price options share the quantity. But in Wix’s own developer documentation the limit belongs to the ticket type, and a price option has only a name and a price, so all options should sell from the same pool. Before you publish, buy a couple of test tickets at different prices and check the remaining count goes down for both.
The catch: price options share one name, one description and one sale period. If “Ticket + drink” needs its own description, or early-bird tickets should stop selling on a date, they have to be separate ticket types again.
Free fix 2: a seating map
For a ticketed event you can add a seating map on the Tickets and Seating tab with Create a Seating Map (Wix guide). Once there’s a map, the event can’t sell more tickets than the seats and areas on it. An “Area” element has a Total spots number, which works for standing room.
The limit here is that each seat or area belongs to one ticket type. Wix lists several ticket types per seat as a feature request. So a seating map caps the event, but it doesn’t let two ticket types share the same free spaces.
Can I add a waitlist to a Wix event?
Only for RSVP events. Wix covers it in Limiting registration and creating waitlists for RSVP events:
- In Events, hover over the event and click Manage.
- On the Settings tab, click Edit next to Registration settings.
- Choose Limited guests and enter the Max number of guests.
- Choose Add guests to a waitlist for when the limit is reached.
You then move people from the waitlist by hand: on the Guests tab, filter by Waitlist and change a guest’s status to Going.
For ticketed events, the same article says plainly: “Waitlists are not available for ticketed events.” There’s a feature request for it. Note that an event can’t be switched from ticketed to RSVP after it’s created.
Where the built-in options stop
- Different ticket types, one total. Early bird, standard and VIP with their own descriptions or sale dates, all drawing from 120 places.
- A waitlist for a paid event, with a way to tell people when a ticket frees up.
For a small event, a plain manual option is a Wix Form on the event page (“Tell me if tickets free up”) and emailing people yourself when a ticket comes back.
An app for shared capacity and a ticketed waitlist
Full disclosure: I built Event Capacity & Waitlist. You set one total for the event, and every ticket type sells from that pool. Each type keeps its own limit if you set one, and one order can’t take more tickets than are left. When the event sells out, a “Join the waitlist” form appears on the event page. When tickets free up, because an order is cancelled or you raise the total, the app triggers a Wix Automation so your own email goes out to the next people in line.
What it doesn’t do: it doesn’t send emails itself (you set up the automation), and it doesn’t reserve a ticket for a waitlisted guest, who buys it the normal way. Ticket types on a seating map are left as they are. The app updates limits within seconds of each order, so two checkouts started at the very same moment could still, in rare cases, go slightly over. The free plan covers one event.
It’s on the Wix App Market.
FAQ
Can I set a maximum number of tickets per order in Wix Events? Yes. On the event’s Settings tab, edit Ticket settings and set Ticket limit per order, up to 50.
Why can’t I find the waitlist option for my ticketed event? Because Wix only offers waitlists for RSVP events. Ticketed events need a workaround or an app.
Can I change a ticketed event to RSVP to get the waitlist? No. Wix’s documentation says a ticketed event can’t be changed to an RSVP event. You’d have to create a new RSVP event, which also means no ticket sales.
