Privacy and data: Historical Snapshots & Weekly Digest
Last updated: 23 October 2026 (rev. 2)
This page adds the details for Historical Snapshots & Weekly Digest to the privacy policy of Kayabyte apps for HubSpot. Kayabyte is the trading name of Caner Kaya, Stasjonsveien 64, 0771 Oslo, Norway. For data in your HubSpot account you are the controller and Kayabyte is the processor.
What the app reads
Deals (name, pipeline, stage, amount, amount in home currency, close date, owner, create date, last activity date, next step, last modified date), deal pipelines and owners (name, email, user ID). With the optional permissions: contact counts per lifecycle stage and lead status, new contacts without activity for the digest (name, email, owner, create date), and ticket counts per pipeline stage.
What the app stores
Unlike most of our apps, this one keeps copies, because history is the product:
- A copy of each deal’s tracked fields (the deal fields above), updated when the deal changes, so it can tell what changed and which deals are stale.
- Changes to stage, pipeline, amount, close date and owner, and new and deleted deals, with the deal name and owner.
- Daily totals: counts and amounts per stage, and counts per lifecycle stage, lead status and ticket stage. Totals contain no personal data.
- Account details, encrypted OAuth tokens, settings (app admins’ HubSpot user IDs, digest recipients’ email addresses), a record of which digests were sent and to whom (kept 60 days), and caches of pipelines, property labels and owners (names and emails), refreshed while the app is in use.
- Unsubscribes (the email address and the HubSpot account ID), kept for 400 days even after an uninstall, so a reinstall never emails someone who opted out.
Contact names and emails are not stored. They are read when a digest is built and are only in that email.
Retention
Free: daily totals and changes for 90 days. Pro: while the app is installed. When the app is disconnected from its settings, all data for the account is deleted at once (except unsubscribes, see above). After an uninstall in HubSpot, the app normally learns of it within an hour and deletes the data then; at the latest it is deleted the next time the app tries to use the connection. Install and billing records are kept for 30 days after uninstall, API usage counters (no personal data) for 90 days, Stripe billing records as the law requires.
The Monday digest is sent only when an app admin switches it on, only to users of the HubSpot account that the admin lists and (if chosen) to deal owners, through Resend. It contains deal names, amounts, stages and owners, the names of new contacts nobody has touched yet (with the contacts permission), and links to the records in HubSpot. Every email has an unsubscribe link.
Who sees what
Everyone in your HubSpot account who can open the app sees the account-wide history, including deal names, amounts and owners, regardless of their HubSpot record permissions. Only app admins change settings, export CSV files and see users’ email addresses in the settings.
Sub-processors
See sub-processors: Cloudflare (hosting, database), Resend (digest email), Stripe (payments).
