Inventory Sync for Square

Inventory Sync for Square is a Wix app that keeps stock in sync between your Square point of sale and your Wix store, in both directions. A sale in your shop lowers the online stock within seconds, an online order lowers the Square count, and Pro also copies prices and creates products on either side. It works with Square in every country Square serves, in any currency.

Getting started

1. Install Inventory Sync for Square and open Apps > Inventory Sync for Square in your Wix dashboard.
2. Click Connect Square, sign in to Square and allow access to your items and stock.
3. Choose the Square location whose stock you sell online. With one location, it is picked for you.
4. Items with the same SKU in Square and Wix are linked automatically. The starting count is copied from Square (or from Wix, if you choose that in Settings), and from then on changes on either side are added up on the other side.
5. Link any other items by hand under Not linked in Wix or Not linked in Square, or import them (Pro).

How the sync works

• Both directions, as changes. A Square sale of 2 takes 2 off the Wix stock, and a Wix order of 1 takes 1 off the Square count. Because changes are added up rather than overwritten, sales on both sides at the same moment are both counted.
• Within seconds. Square and Wix notify the app about every stock change.
• A safety check every 15 minutes. The app compares both sides for all linked items and copies any change that was missed. Sync now runs it at once.
• One location. Your Wix store shares the stock of one Square location.
• Stock tracking is switched on for linked items where needed: quantity tracking in Wix, and stock tracking in Square.

What each plan includes

• Free: sync up to 25 items (variants), both directions, with the 15-minute safety check and the activity log.
• Pro: sync all your items, copy prices from Square to Wix or from Wix to Square, import Square items into Wix as products, and create Wix products in Square.

Things to know

• SKUs are matched ignoring case, extra spaces and full-width characters (so “ＡＢＣ－１２” typed on a Japanese keyboard matches “ABC-12”). A SKU used more than once on one side is never linked automatically; it is listed under Duplicate SKUs.
• Copying prices only works when your Square location and your Wix store use the same currency. When Square prices are copied to Wix, a Wix product is updated when all its options have the same Square price; products priced differently per option are listed in Activity so you can set them in Wix.
• Importing products into Wix needs the current Wix Stores catalog, which all new stores use.
• The app never sees payments, orders’ customer details or card data. It reads and changes only items, prices and stock.

FAQ

Which comes first, Square or Wix? When an item is first linked, its count is copied from Square by default. After that neither side wins: every change is added up on the other side.

What happens if Square or Wix is down for a while? Changes are retried, and the 15-minute safety check copies anything that was missed once both are reachable.

Can I sync several Square locations? One Square location per Wix site. Choose the location that holds your online stock.

Which countries and currencies does it support? Every country where Square works (the US, Canada, the UK, Ireland, Australia, Japan, France and Spain) and every currency, including ones without cents, such as the yen, and ones with three decimals. Stock syncs whatever the currencies. Prices are copied only when your Wix store and your Square location use the same currency.

I sell by weight in Square. What does the web shop show? Square can count stock in fractions (2.5 kg). The web shop shows whole units, rounded down, so 2.5 kg shows as 2. An online order of 1 takes exactly 1 off the Square count.

What if an item is oversold in Square and the count goes below 0? The new Wix product catalog can show the negative count. Stores on the previous catalog show 0. Either way the item is checked again until Square is back at 0 or above, and then both sides match.

Does a sale at my other Square location change the online stock? No. Only the location you chose is synced.

My store uses the previous Wix Stores catalog. Does it work? Yes, stock and price sync work on both catalogs. Importing Square items as Wix products needs the new catalog.

How do I stop syncing? Open Settings and click Disconnect Square, or remove the app. Nothing is deleted in Square or Wix.
