Change Requests & Change Orders for monday.com
Log every out-of-scope request on your monday.com board, price it, get the client’s approval through a link without a monday seat, keep a running contract value for each project, and hand approved changes to billing. Kayabyte Change Requests replaces the email thread and the spreadsheet: every change request or change order is an item on a board, and the app shows which are draft, sent, approved, rejected or invoiced, and what each project’s scope has grown to. Bill the extra work you already do.

What it does
- A register on your own board. Each change request is an item with a reference number (CR-0007, sequential per register), title, description, reason, amount, hours, schedule impact in days, the project it belongs to, who requested it and the client contact. Create a separate register board (then add the Change Requests view on it), or use a board you already have and map its columns.
- Status for every request. Draft, Sent, Approved, Rejected, Withdrawn or Invoiced.
- Price it. Enter an amount, or hours times a rate you set per register. Money is in your account currency.
- Client approval links. Create a signed link per change request. The client needs no monday seat. The link is valid for 30 days by default (you can set 7, 14, 30 or 60), allows one decision and can be revoked.
- Approve or reject. The client sees the change, its cost and the project summary (original value, approved so far, this change, new total), then approves with a typed full name and a confirmation box, or rejects with a reason.
- A recorded decision. The register item gets the status, who approved and when, an update with the record summary, and a printable approval record (plain HTML, not PDF) that stays available while the link lives plus 90 days. The requester and watchers are notified.
- Edit a sent request and the link stops working. Changing the amount, hours, days, title or description voids the open link and returns the request to Draft, so the client never approves a price that has changed.
- Running contract value. Per project: original contract value, approved changes, pending changes, revised contract value and percent growth.
- Project roll-up write-back (Pro). The app writes approved total, pending total and revised contract value into number columns on the project item, recomputed after every decision and hourly.
- Approved but not invoiced. Mark changes as invoiced one at a time or in bulk, and export the register to CSV.
- Send the link with monday’s own automations. The app writes the approval link into a link column, so a monday email automation sends it. Change Requests itself sends no email.
- Reminders (Pro). The requester and the watchers are reminded when a request has been Sent for 3 and 7 days without a decision.
- Weekly digest (Pro). Pending approvals and approved-not-invoiced changes, once a week per watcher.
- Branding (Pro). Your company name, logo and color on the approval page. Otherwise the client sees “Your service provider”.
- Ask Sidekick. Ask monday’s AI assistant which change requests are open, what is approved but not invoiced, or how much a project’s scope has grown. The actions only read: they never change a request, a status or a board.
How to use it
- Open a board, click + next to the board views, choose Apps, then the Change Requests view.
- An account admin clicks Authorize as admin once for the account.
- Follow the first-run checklist: Set up this board, or Create a separate register board (then open it and add the Change Requests view there: + in its view bar, Apps, Change Requests), or map the columns yourself, then optionally pick the project board and the contract value columns.
To use Sidekick, ask in the Sidekick chat in monday, for example “What change requests are open?” or “How much has the website redesign grown?”. Sidekick needs monday’s AI features on your account; Change Requests’ side is free.
Good to know
- Not in this version: e-signature, PDF generation (the approval record is printable HTML), email sending, sync with invoicing systems, subitems as change requests, and several currencies per project.
- A link works for one decision. If the client needs to change their mind, withdraw or revoke and send a new link.
- The approval is the client’s typed name and a confirmation, recorded with the time. It is a record of the decision, not a qualified electronic signature.
