Get started
Before you begin
- A monday.com account where you can add apps.
- Boards with a Timeline, Week or Date column. A mirrored date column also works, refreshed at most every 10 minutes because a mirror changes with another board. Items without dates are left off the chart unless you show them.
- An account admin, to authorize the app once.
1. Add the app
Open any board, click + in the view bar, then Apps > Portfolio Roadmap. For a dashboard, click Add widget and choose Portfolio Roadmap. Both show the same roadmaps.
2. Authorize
An account admin clicks Authorize and accepts. The app asks only for read permissions. Until then, others see a message asking them to contact an admin.
3. Create a roadmap
Click New roadmap. Give it a name and choose its sources: - Boards: specific boards. Opened from a board or a dashboard, those boards are filled in for you. - Whole workspaces and Whole folders: every board in them, also new ones. Subfolders count. - Only boards with this in their name: for example PROJ-, to leave out templates. - Leave out these boards: exceptions.
The app finds each board’s dates, status and owner by column type and title. Open Check or change the columns the app uses to correct a board. Boards without dates are named on the roadmap.
Columns to group by lets you name up to three column titles your boards share, such as Department.
4. Choose how it looks
- Level: every item, one bar per group, or one bar per board.
- Group by, Sort, Zoom, Hide done, Search.
- More options: color, items without dates, filter by owner.
On a share link, hiding owner names also hides People columns used for grouping.
These changes are yours until the roadmap’s owner or an admin clicks Save this view, which sets them for everyone and for the share link.
5. Set a priority order
Choose Sort > Manual order and drag rows, or focus a row and press Alt + up or down. Only the owner and admins can change it, and everyone sees it.
6. See what slipped
Click Baselines, name one (for example Q4 plan) and save. Later, choose it in Compare with. What changed lists what moved. On Pro, Edit roadmap > Automatic baseline takes one every Monday or on the 1st; 24 are kept and automatic ones are removed first.
7. Share it
Click Share, choose whether to hide owner names and when the link expires, and click Create link. People with the link see a read-only page with no login. It uses the saved view and order. Under Compare with you can add a baseline, so it also shows what moved. It includes only boards you can open. Replace link and Turn off stop the old link right away.
Print and export
Print or PDF opens a clean page: use your browser’s print command. Export CSV saves what you see.
Who can do what
- Members create roadmaps and edit their own. Account admins edit all.
- View-only users read. Guests can’t use the app; send them a share link.
- Everyone sees only boards they can open in monday. Admins get no exception, so an admin can see fewer boards than a roadmap’s owner.
