How to connect Wix Stores to Xero (2026)
By Kayabyte
Wix Stores has no built-in connection to Xero, so paid orders don’t reach your books on their own. You can type them in, import them from a spreadsheet, connect the two with an automation tool, or use an app that sends each paid order to Xero as an invoice. This guide covers all four, and what to set up in Xero first so the numbers match.
Before you start: set up Xero for store sales
Whichever way you choose, decide these once:
- Sales account. Most stores use one revenue account (for example 200 Sales). Some keep shipping income in its own account.
- Bank or clearing account. Online payments usually arrive in your bank as payouts, a few days later and minus fees. Many bookkeepers record store payments to a clearing account (for example “Wix Payments clearing”) and match the payouts against it, so fees show up as the difference.
- Tax rates. Each tax your store charges needs a matching Xero tax rate: for example UK VAT 20% on income, Australian GST 10%, New Zealand GST 15%, or your US sales tax rates. If prices on your store include tax, invoices must be tax-inclusive too.
- Contacts. One Xero contact per customer gives you customer history; one shared contact such as “Online store customers” keeps the contact list short.
Option 1: enter orders by hand
Fine for a few orders a week. For each paid order in Wix dashboard > Sales > Orders, create an invoice in Xero (Business > Invoices > New invoice) with the same lines, tax and total, then mark it paid with Record a payment. For a refund, create a credit note and allocate it to the invoice.
It gets slow and error-prone as orders grow, and refunds are easy to miss.
Option 2: export orders and import invoices
Wix can export orders to a CSV file (Sales > Orders > Export), and Xero can import sales invoices from a CSV file in its own template (Business > Invoices > Import).
Things to know: - The two files don’t share a format. You need to move each line into Xero’s columns (contact name, invoice number, date, description, quantity, unit amount, account code, tax type). - Imported invoices arrive as drafts or awaiting payment; payments and refunds still need recording by hand. - Re-importing the same orders creates duplicates, so keep track of the last order you imported.
Option 3: an automation tool
Tools such as Zapier and Make can watch for new Wix orders and create Xero invoices. They work well for simple stores. Check how the automation handles tax-inclusive prices, discounts, shipping, refunds and orders that are paid later, because each of those needs its own step, and a failed run can leave an order missing without you noticing.
Option 4: an order sync app
Order sync apps from the Wix App Market send paid orders to Xero automatically. What to check before you choose one:
- Payments. The invoice should be marked paid in Xero, not left as awaiting payment.
- Refunds and cancellations. A refund should become a credit note with the refund payment; a cancellation should void or credit the invoice.
- Tax. You should be able to match each store tax to a Xero tax rate, and tax-inclusive prices should stay tax-inclusive.
- No duplicates. Retries after an error must not create a second invoice.
- Errors you can see. An order that could not be sent should be listed with the reason and a way to retry.
- Earlier orders. Whether past orders can be imported, and how far back.
Our app, Accounting Sync for Stores, does all of the above: invoices with payments, credit notes for refunds, voids for cancellations, tax and account mapping, a Sync log with a link to each Xero invoice, and history import. Plans start at $6 a month with a 14-day trial.

What no Wix-to-Xero method can copy
Wix doesn’t share payment processor fees or payout batches with apps or exports. Record fees when you reconcile the payout in Xero: the payout is lower than the payments it covers, and the difference goes to a bank fees account.
