Accounting Sync for Stores
Accounting Sync for Stores is a Wix app that sends every paid Wix Stores order to Xero as an invoice with the payment applied. Refunds become credit notes with the refund payment, and cancelled orders are voided or flagged for you, so your Xero books match your store without typing orders in by hand.

Getting started
- Install Accounting Sync for Stores and open Apps > Accounting Sync in your Wix dashboard.
- Choose a plan on the Plan tab. Every plan starts with a 14-day trial.
- Click Connect to Xero, sign in on Xero’s own page, choose your organisation and allow access.
- On Settings, check the sales account, the shipping and fees accounts (optional) and the bank account that receives payments. Match each tax that appears on your orders to a Xero tax rate, then save.
- New paid orders appear in the Sync log within about a minute, each with a link to its invoice in Xero. Earlier paid orders can be imported in the background.
What is sent to Xero
- Paid order: an invoice with one line per item, plus shipping and extra fees, each with its tax, and the payment applied for the order total. Discounts are shown on the lines they apply to.
- Partly paid order: nothing until it is fully paid.
- Refund: a credit note for the refunded amount, allocated to the invoice, with a refund payment from the same bank account.
- Cancelled order: an unpaid invoice is voided; a paid one is credited when the refund is made. A paid order cancelled without a refund is flagged for you to check.
- Customer: one Xero contact per customer (matched by email), or one shared contact for all store orders if you prefer.
- Taxes: tax-exclusive and tax-inclusive prices are both supported. The tax amounts on the invoice are the ones your store charged, so totals always match the order.
Things to know
- Payment processor fees and payouts are not synced, because the store does not share them. Reconcile them from your bank statement in Xero.
- Inventory, products and purchases are not synced.
- Each order is sent once. If Xero is busy or offline, the app retries on its own, and a daily check looks for orders that were missed.
- When something needs you (for example a tax that is not matched yet, or a locked accounting period), the order shows in the Sync log with a plain explanation and a Retry button.
- Orders in another currency than your Xero base currency need that currency enabled in Xero; Xero applies its own exchange rate.
FAQ
Does it work with the Xero Demo Company? Yes. You can try the whole flow with Xero’s Demo Company before connecting your real organisation.
Can it create draft invoices so I can review them first? Yes. In Settings, choose Draft under Invoice status. Xero does not take payments on drafts, so add the payment in Xero when you approve the invoice.
Can I use my store order numbers as invoice numbers? Yes. Choose Use the store order number with a prefix under Invoice numbers. By default Xero numbers the invoices, and the store order number is in the invoice reference.
What happens to orders from before I installed the app? Choose how far back to go under Earlier orders. Older paid orders are sent in the background, newest first, and count toward your monthly orders.
What if I go over my plan’s monthly orders? Extra orders wait and are sent when the next month starts or when you move to a bigger plan. Nothing is lost.
How do I stop syncing? Click Disconnect on the Connect tab, or remove the app. Nothing already in Xero is changed, and the Xero access is revoked at once.
How do I get help? Email support@kayabyte.dev. We answer within one business day, Monday to Friday, Central European Time.
