Event Capacity & Waitlist for Wix
Give each Wix Events event one total ticket limit across all of its ticket types, and a waitlist for when it sells out. When tickets free up, the app tells your Wix Automations who is next in line, so an email can go out right away.
Getting started
- Install Event Capacity & Waitlist from the Wix App Market on a site with Wix Events. If your site was already published, publish it once more so the waitlist form goes live on the event page.
- In your site dashboard, open Events, choose an event and go to the Tickets and Seating tab.
- In the Shared capacity & waitlist card, turn on Shared capacity and enter the total number of tickets for the event. Turn on Waitlist when sold out if you want a waitlist. Click Save.
- To email waiting guests, go to Automations, create an automation and choose the trigger Event waitlist spot opened. Add a “Send email” action. The trigger includes the guest’s first name, the event title, the event page link and how many tickets they asked for.
How shared capacity works
Each ticket type may sell what it has already sold or holds in a checkout, plus the seats still free for the whole event. The app keeps every ticket type’s limit, and the event’s tickets-per-order setting, at that level and updates them after every order. So you never sell more tickets than the total, and a single order that mixes ticket types cannot go over it either.
If you set your own limit on a ticket type, the app never goes above it. Seated ticket types (with a seating map) are left as they are.
Turn Shared capacity off and Save, and the app puts your own ticket limits and tickets-per-order setting back.
How the waitlist works
When no tickets are left, a Sold out? Join the waitlist form appears on the event page. Guests enter their first name, last name, email and how many tickets they want. A guest who signs up twice with the same email is listed once.
When tickets free up, because an order is cancelled or removed, or because you raise the total, the app tells Automations about the people waiting, oldest sign-up first, until the free tickets are covered. The first person in line is always told. Each person told is marked Notified and added to your contacts.
See everyone under Apps > Event waitlists: filter by status, search by email, mark guests as notified or removed, and export the list to CSV.
Plans
- Free: shared capacity and the waitlist for 1 event.
- Pro: all your events. $8.99 per month, or $7.49 per month billed yearly, with a 14-day free trial. Billed by Wix.
On the Free plan, the app works for the first event you turned on. Upgrade from the notice in the event’s card.
FAQ
Does the app send the emails itself? No. It reports the “Event waitlist spot opened” trigger to your Wix Automations, and your automation sends the email. That way the email uses your own branding and sender.
Does a waitlisted guest get a ticket reserved? No. The guest is told that tickets are available and buys them as usual. Tell more people by raising the total, or mark guests by hand in the dashboard.
Can a sale go over the total at the exact same moment? The app updates the limits within seconds of every order. Two checkouts started at the very same moment, before the first is recorded, could together go slightly over. For most events this never happens.
What happens if I remove the app? Turn Shared capacity off and Save first, so your own ticket limits come back. After removal the app can no longer change them. Its stored settings and waitlists are deleted within 30 days, as described in the privacy policy.
