Cancellation and deposit policy for a B&B or small hotel on Wix

By Kayabyte

Disclosure: I make Hotel & B&B Booking System, a Wix app that I describe near the end. The Wix Hotels part comes from one Wix help article, quoted and linked below. Checked on 4 November 2026.

Before a guest books a room, they want to know two things: how much they pay now, and what happens if their plans change. For a B&B with a few rooms, a vague answer costs you either bookings or money. This page goes through what Wix Hotels by HotelRunner lets you set, what to write in your own terms, and how a booking app on your own Wix checkout handles the same questions.

What does Wix Hotels let you set?

Wix’s article Creating and Managing Your Cancellation and Deposit Policies covers the latest version of Wix Hotels by HotelRunner. It says these policies “appear at checkout”.

Cancellation policy. You create it under Property Settings > Manage Policies, and the refund type is one of three:

The article says a cancellation policy must be assigned to a rate plan to take effect, and that you can give each rate plan its own policy. It also says “The default cancellation policy is non-refundable”, and that you can edit its name and description and disable it, but not change its refund type or delete it.

Deposit policy. Also under Manage Policies. The article lists three fee types: a “single, fixed deposit per stay”, a percentage “based on the total cost of your guests’ stay”, or a “fixed deposit amount for each night”. There is an option to include tax in the deposit. You can turn the deposit off at any time, for example in the off-season. The article warns: “Your deposit policy is not applied when a non-refundable cancellation policy is enabled.”

To test a policy, the article suggests making a reservation on your own site with manual payments so you are not charged, cancelling it, and checking how the policy shows in the reservation details.

What should you write in your own terms?

Whatever tool you use, put the rules in plain words on the room page and in the booking confirmation. Guests mostly look for four things:

  1. What you charge at booking (full amount, a share, or a fixed deposit) and when the rest is due.
  2. Until when they can cancel for free, as a date or a number of days before arrival.
  3. What it costs after that (the deposit, one night, a share of the stay), and whether a non-refundable rate is cheaper.
  4. Who to write to to change dates, and how long a refund takes.

If you offer a cheaper non-refundable rate next to a flexible one, name them so guests can tell them apart at a glance.

Where Hotel & B&B Booking System fits (mine)

Hotel & B&B Booking System takes room bookings on your own Wix site and uses your site’s checkout. The details below come from the app page as I read it on 4 November 2026. If the page differs, the page is right.

What it does not do, from the same page: it is not a channel manager, and when an imported calendar overlaps a direct booking it does not move or cancel either booking.

See it on the Wix App Market.

FAQ

Can I set a cancellation policy in Wix Hotels? Yes. Wix’s article describes non-refundable, free cancellation and partially refundable policies, assigned to rate plans.

Does the deposit apply to non-refundable rates in Wix Hotels? Per the Wix article, no: “Your deposit policy is not applied when a non-refundable cancellation policy is enabled.”

Can I offer a cheaper non-refundable rate? Wix Hotels has a default non-refundable cancellation policy and lets you assign policies per rate plan. In Hotel & B&B Booking System you can add a non-refundable rate at a percentage discount. In both cases, say it in your terms.

Does cancelling a booking in the app refund the guest? No. Per the app page, you refund the order yourself in Sales > Orders and tell the guest.
