How to convert an Etsy monthly statement to a Schedule C worksheet
By Kayabyte · Last updated 29 October 2026
To convert an Etsy monthly statement to a Schedule C worksheet, download each month’s statement CSV from Shop Manager (Finances, then Monthly statements), sort every row into a category (sales, fees, advertising, shipping labels, refunds, payouts) and total each category for the year. Keep payouts to your bank out of income, then map the category totals to Schedule C lines such as gross receipts, advertising, and commissions and fees. You can do this by hand in a spreadsheet with a pivot table, or let Balanced, a Mac app, categorise the CSVs and export a Schedule C worksheet CSV. This is a starting worksheet, not tax advice. Etsy changes its labels from time to time, so treat the menu names as a guide.
1. Download the statements
- In Shop Manager open Finances, then Monthly statements.
- Choose the month and generate or download the CSV. In some accounts Etsy emails you a link; in others the file downloads straight away.
- Repeat for every month of the tax year. Etsy lets you take one month at a time.
If you also want what was paid out to your bank, the payment account view can be downloaded as CSV for a date range.
2. Sort the rows by hand
Open each CSV in Excel or Numbers and add a Category column. Typical rows and where they go:
- Sales and shipping charged: income. Keep shipping charged separate from item sales if you want to see it.
- Sales tax and VAT collected: not income when Etsy collects and remits it. Keep it out of sales.
- Listing, transaction and processing fees, subscription fees: marketplace and payment fees.
- Offsite Ads and Etsy Ads fees: advertising.
- Shipping labels bought on Etsy: shipping.
- Refunds: negative sales.
- Deposits to your bank: a payout, not income. If you count it as income you count your sales twice.
Then use a pivot table to sum by category. This works, but twelve months of rows is slow, and a sign error or a payout counted as income is easy to miss.
3. Check your total
The simple safeguard is a proof: sales plus shipping minus fees minus refunds, adjusted for anything held, should equal what Etsy says your net was. If your category totals do not reproduce the net, something is in the wrong bucket.
4. From categories to Schedule C
If you file a US Schedule C, your categories map roughly to its lines: gross receipts, returns and allowances, advertising, commissions and fees, shipping and supplies, and so on. Where an item belongs is a judgement that depends on your situation, so use this only as a starting worksheet and check it with your tax professional. This guide is not tax advice.
5. Where Balanced helps
Balanced is a Mac app we make. Drag in the Etsy statement CSV (or several months at once). It recognises the Etsy layout from the column headings, and shows every row with a category from fixed rules, not AI. If it puts a row type in the wrong place, change it once and choose “Always do this for this type”; Balanced remembers that for the next statement.
Balanced puts every row in one category (Sales, Shipping charged, Sales tax / VAT collected, Refunds, Marketplace fees, Payment processing fees, Advertising, Shipping labels, Other fees, Adjustments, Reserves and holds, Payouts to bank, Transfers in, Currency conversion or Other). Payouts, transfers, reserves and currency conversion are money moving between balances, not income or expense, so they stay out of the category totals. You can change any category per line, or for every row of the same type, and Balanced remembers it.
It checks the statement against itself where Etsy gives it numbers to check, such as the running balance. Export a categorised CSV, Excel with a summary sheet, a category summary, or a Schedule C worksheet CSV with suggested lines and a reminder to check it with your tax professional. Everything is read on your Mac and nothing is uploaded.
Honest limits: report layouts change, so check the preview and the category totals; Balanced does not log in to your account or fetch anything, you download the file yourself; the Schedule C worksheet is a suggested grouping, not tax advice, so check it with your tax professional or accountant.
Download Balanced and try it free: the free version reads and checks everything and exports the first 10 lines per file, so you can test your own report before paying. Pro is USD 59 per year or USD 7.99 per month, for up to 3 Macs. See pricing and the help page. macOS 14 or later.
6. Keep the records
Save the original CSVs with the exports. If a number is ever questioned, the source file is your proof.
