Shopify payouts reconciliation
By Kayabyte · Last updated 29 October 2026
A Shopify payout is a lump sum: sales minus fees minus refunds, paid on a schedule. To reconcile your bank you need to know which transactions made up each payout. Shopify lets you export those transactions. Menu names change, so treat them as a guide.
1. Export the payout transactions
- In the Shopify admin open Settings, then Payments, then View payouts (for Shopify Payments).
- Open View transactions, choose Export, set the date range and the file type, and export the balance transactions.
- The Payouts over time report under Reports is a summary of payout dates and amounts only; use the transactions export for detail.
If you export more than one payout day, the file includes a payout date column, so you can group by payout.
2. Reconcile by hand
Open the CSV, filter by payout date, and sum amount, fee and net. The net for one payout date should equal the bank deposit. Charges are sales, fees are payment processing fees, refunds reduce sales, and adjustments or chargebacks need a look of their own. Sales tax collected is in the order, not in your revenue.
3. Book it
In Xero or QuickBooks Online, record each payout as a transfer from a Shopify clearing account to your bank, and the sales, fees and refunds against that clearing account. That way the bank reconciles to the deposit and the clearing account returns to zero.
4. Where Balanced helps
Balanced reads the Shopify payout transactions CSV on your Mac. Each row is categorised by rules (sales, refunds, payment fees, adjustments, reserves, payouts), and it checks a payout against the sum of its lines. Export a categorised CSV, Excel with a summary sheet, a Xero manual journal or QuickBooks Online journal entries with the clearing account, or Beancount or Ledger.
Honest limits: report layouts change, so check the preview and the category totals; Balanced does not log in to your account or fetch anything, you download the file yourself; the Schedule C worksheet is a suggested grouping, not tax advice, so check it with your tax professional or accountant.
Download Balanced and try it free: the free version reads and checks everything and exports the first 10 lines per file, so you can test your own report before paying. Pro is USD 59 per year or USD 7.99 per month, for up to 3 Macs. See pricing and the help page. macOS 14 or later.
