Why does iCloud bring back deleted data after you restore it, and what can you do?

iCloud keeps the master copy of an app’s data and syncs your devices to it, so when you restore an old state on one Mac, iCloud can treat the restored data as a change, or sync its own newer copy back over it, and a restored item can be deleted again. This applies to Notes, Contacts, Calendar, Reminders, Safari and Voice Memos. The safe pattern is to restore into a new place, check it, and only then rely on it.

Why it happens

When iCloud is on for an app, each device sends changes and receives changes. If you put an older database in place, iCloud sees a Mac whose data differs from the cloud, and it will merge, replace or delete depending on the app. Something you deleted on another device a minute ago can be deleted again the moment a restored copy syncs.

What to do before you restore

  1. Look at iCloud.com first. Account Settings, Data Recovery offers dated archives for contacts, calendars and reminders, and bookmarks. That restore is the one iCloud itself supports. It replaces the data on all devices, with the current data archived first.
  2. Restore into something new. Import into a new calendar called “Recovered”, or a new Notes folder, rather than replacing the live data.
  3. Check on a second device. Wait a few minutes with the Mac online and check the item on your iPhone.
  4. Keep a copy outside the app. Keep the exported file (.vcf, .ics, HTML, audio) until you are sure.
  5. Do not switch iCloud off for the app as a quick fix without first choosing to keep a copy on this Mac; turning it off can remove synced data from the Mac.

What NoteRescue does about it

NoteRescue never writes into an app’s own data. It makes new files in a folder you choose and hands them to the app’s own import, so a recovered contact or event is a new item. Before the first recovery it shows the iCloud warning: if iCloud is on, an app may sync an old state back, and something iCloud deleted can be deleted again. We cannot promise what iCloud will keep. If an item disappears again, it was iCloud.

After a recovery a new scan can still list the old item as missing, because the import made a new item and not the old one.

What to do in NoteRescue

  1. Scan and open the app’s row.
  2. Select items and recover into a folder.
  3. Import into a new calendar, folder or the app’s own import, then check on another device.

Questions

Can iCloud delete my recovered contact again? It can, if the card is removed on another device or the sync decides the older state is wrong. Check the result after a few minutes.

Is it safe to turn iCloud off first? Not by default; turning it off can remove synced items from the Mac. Choose to keep a copy first.

Does the same apply to Time Machine restores by hand? Yes, more so, because a swap puts a whole old database in place. Stay offline during the swap.
