How to share a monday.com roadmap with people who have no seat
By Kayabyte
Short answer: for a live view, your options are guest access on a shareable board, a shareable link to a board view (where your plan allows it), a Gantt export to PDF or slides, or an app with its own read-only page. Executives and clients usually want a link that opens with no login, so the question is what each option shows and who can open it.
Option 1: invite them as guests
- The board must be shareable.
- Click Invite and enter their email as a Guest.
- They sign in or create a monday account.
What to know:
- They need an account, which is often the reason this fails with executives.
- monday’s support pages describe how guests are priced by plan, with some plans counting extra guests as seats. Check yours.
- It works per board, so a roadmap across many boards means inviting them to each one.
Option 2: share a board view
monday has a share option for board views on some plans, which creates a link to one view. Check the current article for your plan. It shows a single board, so it suits a summary board rather than a portfolio of separate boards.
Option 3: export
Export the Gantt to PDF or Excel. monday’s Gantt article notes a limit of 10 years and 640 items. Apps such as GanttGo, Gantt Exporter and Gantt to Slides add multi-page and slide exports.
What to know: an export is out of date the moment you send it. For a monthly steering meeting, that may be just right. For a roadmap people check any time, it means repeating the job.
Option 4: a read-only link from an app
Portfolio Roadmap & Timeline is our app. It builds one timeline across many boards and has a Share button that creates a read-only page with no login and no seat.
- Choose whether to hide owner names and when the link expires.
- It uses the saved view and priority order, and shows what moved since the newest baseline.
- It includes only boards the person who created the link can open.
- Replace link and Turn off stop the old link right away, and it stops by itself if that person leaves the account.
Share links are on the Pro plan. See Portfolio Roadmap & Timeline.
Before you share any link
A link with no login can be forwarded. So:
- Decide what the reader really needs. Often that’s one bar per project, not every item.
- Hide owner names unless they matter to the reader.
- Check item names for anything you wouldn’t want to forward, such as client names or salaries.
- Set an expiry date for people outside your company.
- Turn links off when the project or engagement ends.
Which one to pick
| Reader | Good fit |
|---|---|
| A client who works in your board | Guest |
| A steering group, monthly | Export to PDF or slides |
| Executives who check in any time | A read-only link |
Common questions
Can someone with no monday account see a board? Not by default. They need guest access, a shared view where your plan offers it, or a page from an app.
Can they edit anything? A guest can, depending on permissions. An export and our share page can’t change anything.
Details are from monday.com’s support pages as read on 3 November 2026. Plans and prices change, so check them for your account.
