How do you reconcile your Etsy 1099-K with your sales?
By Kayabyte · Last updated 2 November 2026
A 1099-K reports the gross payments processed for you, generally before fees and refunds, and often before sales tax is separated, so it rarely equals your income. Check the IRS instructions for the exact contents. To reconcile, total your Etsy statements for the year and walk from the gross figure on the form down to your net: gross payments, less refunds, less fees, less sales tax collected. This is not tax advice, and the reporting threshold has changed several times, so check the IRS page rather than a number from us.
Why the numbers differ
- Fees: Etsy charges listing, transaction, processing and advertising fees; some are deducted from payouts and some are billed separately, so check your statements. They are costs, not reductions of sales.
- Refunds: money returned to buyers may still sit inside the gross payments figure.
- Sales tax: where Etsy collects sales tax for a sale, that tax is generally not your sales income, but the payments processed can include it.
- Shipping and timing: shipping charged is income; payments at the turn of the year can fall in different years.
- Other income: sales outside Etsy are not on that form but still count.
You report income whether or not you received a form. See the IRS page Understanding your Form 1099-K for the current rules and thresholds.
How to reconcile by hand
- Download all twelve monthly statement CSVs (Shop Manager, Finances, Monthly statements; menus vary, see the Etsy section of the help page).
- Add a category to each row: sales, shipping charged, sales tax collected, refunds, fees, advertising, payouts.
- Sum each category for the year.
- Compare gross sales minus refunds, plus sales tax if it is included, with the 1099-K figure and explain any difference.
Where Balanced helps
Balanced reads each statement CSV on your Mac, categorises every row with fixed rules (no AI), checks the report against its own numbers, and lets Export All combine a year of monthly reports into one file. The category totals show on screen for free; the category summary export and the Schedule C worksheet are part of Pro. You can change any category and Balanced remembers it. It does not tell you what to report. See Etsy statement CSV to a Schedule C worksheet.
Steps with Balanced
- Download the monthly statement CSV for each month of the year from Etsy.
- Add all twelve files to Balanced and check the categories and the checks.
- Read the totals by category on screen, or export the category summary (Pro).
- Compare the gross sales and refunds with the 1099-K and write down the reasons for each difference.
- Review the result with your tax professional.
Questions
Why is my 1099-K higher than my profit? It shows gross payments before fees, refunds and costs, so it is not income minus expenses.
Do I need a 1099-K to report my Etsy income? No. Income is reportable whether or not you receive a form. Ask your tax professional about your situation.
Does Balanced decide what is taxable? No. It sorts rows into categories you can change and suggests a worksheet. It is not tax advice.
