How do you export a Capital One statement to Excel?
By Kayabyte · Last updated 2 November 2026
Download your transactions from Capital One online banking as a CSV and open it in Excel. Monthly statements are PDFs that you download one month at a time, so for older months convert the PDF and check that it adds up. We are not affiliated with Capital One, and the exact options and date ranges on their site change, so look at what your own account offers.
1. Try the transaction download first
In your Capital One account, look for a download or export option on the transactions view. You can usually pick a date range and a format, with CSV for spreadsheets and QFX or OFX for money software such as Quicken. The range available differs by account and card, and it changes, so read the options in the download panel.
Things to know:
- A credit card file lists purchases and payments with its own sign convention, which can be the reverse of a bank account. Check the signs.
- Dates may open in the wrong order in Excel; check the date column.
- A download does not show opening and closing balances, so it cannot prove the total on its own.
2. For older months: the PDF statements
Monthly PDF statements are available in the statements area of your account, one month at a time. Copying from the PDF into Excel splits wrapped descriptions and repeats headers, so compare the result with the statement: for a card, previous balance + purchases - payments = new balance.
3. Where Balanced helps
Balanced is a Mac app we make. It reads the PDF statement on your Mac, with nothing uploaded and no AI guessing. Check the preview, fix column roles or date order, turn on “Card statement (flip signs)” for a credit card so purchases export as money out, and read the totals check against the statement balances. Then export Excel (.xlsx), CSV or an import format.
Limits to know: the free version exports the first 10 transactions per file; Pro is USD 59 per year or USD 7.99 per month. Poor scans can fail and layouts differ. Download Balanced and try your own statement.
Steps with Balanced
- Download the monthly statement PDF from your Capital One account.
- Open it in Balanced with Add Files or by dragging it in.
- For a credit card, turn on “Card statement (flip signs)”, then check the preview and the totals check.
- Export Excel (.xlsx) or CSV.
- Open the workbook and compare a few rows with the statement.
Questions
Can you download Capital One transactions as CSV? Yes, the transactions view offers a download with a date range and format choice. The range varies by account, so check the panel for yours.
Can I get many months at once? Statements are PDFs downloaded one at a time. In Balanced you can add several PDFs at once and use Export All to save one file per statement.
Why does my credit card export show purchases as positive? That is how card statements are printed. The “Card statement (flip signs)” option and the totals check settle it.
