Can you upload a PDF bank statement to QuickBooks Online?

By Kayabyte · Last updated 2 November 2026

No. QuickBooks Online imports bank transactions from CSV files and from QBO, OFX and QFX files, not from PDFs, according to Intuit’s help pages. To use a PDF statement you first convert it to a file QuickBooks accepts, then upload that file for the account. This guide answers the PDF question and the CSV layout; for the QBO route and the bank ID setting, see the QBO guide.

What QuickBooks Online accepts

Intuit’s help article on formatting CSV files says QuickBooks accepts two layouts, in this order:

Intuit also lists common fixes: leave zero cells blank, use plain headers, and remove a day of the week from the date. It says Mac users should save the file as a Windows CSV. For a credit card account, choose the card account when uploading, because card files show payments as negative amounts. Labels and rules change, so check Intuit’s current page. If your bank offers QBO, OFX or QFX files, QuickBooks can also import those.

Your options with a PDF

  1. Ask the bank for a CSV or a QuickBooks (Web Connect) download first.
  2. Copy the table into a spreadsheet and arrange it into one of the layouts above.
  3. Convert the PDF with a tool and import the result.

Where Balanced helps

Balanced reads the PDF on your Mac (nothing uploaded, no AI) and writes CSV, Excel, OFX, QFX and QBO. A QBO file carries account details and needs the bank ID setting (default 3000), so no column mapping is needed. For CSV, compare its headers with the layouts above before you upload; QuickBooks may ask you to map columns during the upload. Balanced writes files; it does not sync into QuickBooks. The totals check compares opening balance plus transactions with the closing balance before you export. See Convert a PDF to QBO for QuickBooks.

The free version exports the first 10 transactions per file; Pro is USD 59 per year or USD 7.99 per month. Download Balanced.

Steps with Balanced

  1. Open the PDF statement in Balanced and check the preview and the totals check.
  2. Export QBO (set the bank ID if QuickBooks cannot verify the institution), or export CSV.
  3. In QuickBooks Online, go to the bank account and choose the option to upload transactions from a file.
  4. Select the file, choose the account, map columns if it is a CSV, and review before accepting.

Questions

Can QuickBooks Online read a PDF bank statement? No. It imports CSV, QBO, OFX and QFX files, so a PDF has to be converted first.

Which CSV columns does QuickBooks Online accept? Date, Description, Amount (three columns) or Date, Description, Credit, Debit (four columns), according to Intuit’s help.

Do I use QBO or CSV? QBO carries account details but needs a bank ID QuickBooks accepts; CSV is simpler but needs the right columns. Try the other if one fails.
